Effective Date: 21st January 2026

1. Introduction

At AberMusic, we love celebrating our students’ progress and sharing the joy of music-making! To do this, we may take photographs, videos, and/or audio recordings and use related digital tools during lessons, workshops, and performances.

This policy explains how we use and protect that media (and related digital interactions) and gives you choices about consent.

This policy applies to all recordings and relevant digital interactions in both physical and digital learning environments managed by AberMusic, including (without limitation):

  • in-person lessons and sessions at the AberMusic Studio (practice space),
  • online lessons, and
  • media and interactions within our student portal/practice app (e.g., PracticeSpace), such as uploads, feedback, assignments, and progress tracking.

At AberMusic, we love celebrating our students’ musical journeys and achievements. From time to time, we may wish to capture and use media during lessons, performances, recitals, or other AberMusic events. This Media Policy explains how we capture, use, store, and share photos, video, and audio recordings, and outlines your rights regarding consent.

2. Purpose of Photography, Video, and Audio Recording

We may use photographs, video recordings, and audio recordings for the following purposes:

  • Marketing and Promotion: Website content, social media posts (e.g., Facebook, Instagram, YouTube, TikTok), brochures, flyers, and advertisements.
  • Educational Resources: Internal teaching materials, demonstrations, and student progress documentation.
  • Media and Press: Local or national press coverage, interviews, or feature articles about AberMusic.
  • Internal Records: Documentation of events, recitals, and performances for archival purposes.

3. What We May Capture

3.1 What we collect

We may take photographs, video recordings, or audio recordings of students during their musical activities with AberMusic.

This policy covers:

  • Photographs (digital or print)
  • Video recordings (with or without audio)
  • Audio recordings
  • Live streaming of lessons, performances, or events

4. Consent for Adults (Aged 18 and Over)

If you are an adult student, your consent is required before we photograph or record you. By signing or electronically agreeing to this consent form, you confirm that:

  • You give AberMusic permission to capture and use your image and/or voice.
  • You understand the purposes for which the images or recordings may be used.
  • You provide this consent voluntarily.

5. Consent for Children and Young People (Under 18)

For students under the age of 18, consent must be provided by a parent or legal guardian.

By signing or electronically agreeing to this consent form on behalf of your child, you confirm that:

  • You are the parent or legal guardian of the child named.
  • You give AberMusic permission to capture and use your child’s image and/or voice.
  • You have discussed this with your child (where age-appropriate) and they are happy to participate.
  • You understand the purposes for which the images or recordings may be used.

6. Consent Options and Types of Media Use

This policy covers recordings and digital interactions made in both physical and digital learning environments managed by AberMusic, including (without limitation) recordings and interactions:

  • during in-person lessons and studio sessions at the AberMusic Studio (practice space),
  • during online lessons, and
  • via our practice app/student portal (e.g., PracticeSpace), such as uploads, assignments, teacher feedback, and progress tracking.

You can choose which types of consent you’re comfortable with. Some options are optional, and one is a core part of the tuition service.

6.1 Tuition Media (Core Part of the Service)

Covers audio, video, and photo media created during online lessons, in-person lessons at AberMusic Studio, or uploaded to practice apps for the purpose of teacher feedback, lesson support, and student progress.

This may include:

  • recordings made by the teacher during lessons (e.g., short demo clips),
  • recordings made by the student and uploaded for feedback,
  • teacher feedback recordings (audio/video), and
  • lesson assignment media within PracticeSpace.

Tuition Media is a core part of our digital tuition service. If you do not consent to Tuition Media being used in this way, we may not be able to provide the PracticeSpace-based parts of your tuition.

6.2 Social & Gamification Media (Opt-in Required)

Covers the use of student names/screen names and progress data on internal studio leaderboards and studio-wide challenges. This is optional and requires opt-in.

This may include displaying:

  • a student’s screen name/first name, and
  • practice points/progress data.

This includes studio-wide challenges and leaderboards on platforms like PracticeSpace. Participation in these features is an explicit opt-in. Once opted-in, student progress and screen names are viewable by all other members of the AberMusic digital studio community.

6.3 Promotional Media (Separate Opt-in Required)

Covers the use of any student images, video clips, or audio recordings for marketing, website, or social media purposes. This is optional and requires separate opt-in.

If you opt in, we may share Promotional Media:

  • on our website https://abermusic.wales, and
  • on AberMusic’s official social media accounts across any platforms we use now or in the future.

We will not publish a student’s full name alongside Promotional Media without specific additional permission.

We will never sell your images or recordings to third parties for commercial gain unrelated to AberMusic.

6.4 Teacher Handling of Student Media (No Downloading/Sharing)

To protect student privacy, teachers and AberMusic staff must not download, save, or share student videos/audio/photos to personal devices, personal cloud storage, or personal messaging apps.

Student media should only be accessed, shared, and stored through AberMusic-approved systems (e.g., PracticeSpace/student portal) unless we have a clear safeguarding reason or you have given explicit written permission for a specific alternative method.

7. Your Rights

7.1 Your Choice

Consent is completely voluntary, except that Tuition Media is a core part of the digital tuition service (PracticeSpace features). You can choose to:

  • Tuition Media (Core Part of the Service): Allow audio/video recordings for lesson assignments, teacher feedback, and student progress.
  • Social & Gamification Media (Opt-in required): Allow the student’s screen name/first name and progress data to appear on internal studio leaderboards.
  • Promotional Media (separate opt-in required): Allow student images/video clips/audio recordings to be used on our website and on social media platforms (now and in the future).
  • No optional consent: You can still choose not to opt into the optional items (social & gamification and promotional) at any time.

7.2 Changing Your Mind

You can withdraw or change your consent at any time by emailing us at [email protected] or calling us on 01970 868 368. Once you withdraw consent, we will not use your media in any new materials and will remove it from our website/social media where reasonably possible.

You have the right to:

  • Grant consent – Choose which consent options you agree to.
  • Refuse optional consent – Decline leaderboard and/or marketing consent. This will not affect your ability to receive lessons.
  • Withdraw consent – You may withdraw your consent at any time by contacting us. Please note that it may not be possible to remove content already in circulation (e.g., printed materials or third-party shares).

8. Safeguarding and Safety

8.1 Protecting Privacy

To keep everyone safe:

  • We will never publish a student’s full name alongside their photo or video without specific additional permission.
  • We will ensure students are dressed appropriately and portrayed in a positive, respectful light.

  • We will never publish a child’s full name alongside their photograph without explicit parental consent.
  • We will never share images in a way that could put a student at risk.
  • Images will be stored securely and only accessed by authorised AberMusic staff.
  • Any concerns about the use of images should be reported to AberMusic immediately.

9. Data Protection and Storage

All photographs and video recordings are processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Images will be stored securely on password-protected systems.
  • Images will be retained only for as long as necessary for the purposes outlined in this policy.
  • You may request access to, correction of, or deletion of your images by contacting us.
